Collecting COI documents prior to contract execution helps ensure that subcontractors are properly covered, reduces risk, and saves time.
*Disclaimer: This article is for users of both our contract and COI modules.
To help General Contractors collect and verify COI documents prior to contract signature, Constrafor has implemented settings. These can be managed per document category and can always be changed at the time of contract creation.
-
Document Category settings
Under, the Contracts module, navigate to Settings. Here you will see all the different categories of agreements available on Constrafor. Toggle ON all the different agreement categories for which you would like the subcontractor to submit COI documents before signing the agreement.
Note: You can always remove this requirement when sending the agreement (see 2. below). -
When creating an agreement
When creating a new contract, once both a project AND a document category are chosen, the check boxes below will appear. The first check box needs to be checked for the 2nd to be available and this first checkbox is checked by default for the categories toggled ON in 1.
You are free to check/and uncheck these settings here.
✅ Require COIs from subcontractor before signing --> when the subcontractor first opens the contract, they will not have access to the "sign" button. Instead, there will be a "Submit COIs" button until they have submitted their COIs for that project.
✅ Require COIs approval before final signature --> this prevents the signer on the GCs's side to countersign the agreement before their insurance specialist has approved the COIs submitted by the subcontractor.
