Many companies have Contract Administrators who handle contract approvals and signatures on behalf of their managers. To accommodate these cases, Constrafor offers the "Contract Administrator" role.
If you or someone at your company will be approving or signing contracts on behalf of others (such as a VP, Executive, or Project Manager), they must be assigned the Contract Administrator role.
What Can a Contract Administrator Do?
A Contract Administrator has the ability to:
- Approve an agreement on behalf of a designated approver.
- Review an agreement on behalf of a designated reviewer.
- Sign an agreement on behalf of a designated signer.
How to Assign the Contract Administrator Role
An admin can grant this role by navigating to:
Settings → Users & Roles → Toggle the user's role to Contract Administrator.
How Approvals and Signatures Appear in the System
Approving on Behalf of Someone Else
When a Contract Administrator approves an agreement on behalf of an approver, the contract log clearly displays who approved it and on whose behalf. Anyone with access to the agreement from the General Contractor's account can see this information.
When a Contract Administrator approves on behalf of the approver, the contract log will look like this:
Signing on Behalf of Someone Else
When a Contract Administrator signs an agreement for another user, the audit trail at the bottom of the executed contract (shared with the subcontractor) will show the name of the assigned signer.
Example: If Mrs. Smith signs on behalf of Laura Vanderweyen, the DocuSign audit trail on the agreement will display Laura’s name as the signer. However, the contract log will indicate that the signature was added by Mrs. Smith.
